User Guide for WooCommerce POS Warehouse Management

WooCommerce POS Warehouse Management simplifies inventory control for store admin. It allows them to organize products on rack and create warehouses with multiple locations.

Additionally, they can easily manage, monitor, and transfer stock with the help of clear visuals and comprehensive PDF reports.

Admin can find a visual map of all products on the Genealogy tab, which makes it super easy to view the whole inventory.

Plus, this plugin allows you to easily reserve POS stock for both master and centralized inventory systems.

It’s also simple to transfer stock between the warehouse and the WooCommerce store, and you can download a color coded genealogy report straight from the backend for quick access.

Installation of WooCommerce POS Warehouse Management

The user will get a zip file that he has to upload in the “Add New” menu option in the WordPress admin panel.

For this, login to WordPress Admin Panel then Under the Dashboard, hover your mouse over the “Plugins” menu option which brings out a Sub-Menu then select the “Add New” option.

After this, you will see an option on the top of your page that is “Upload Plugin”, Now clicks the option to upload the zip file.

By clicking on the “Upload Plugin” option, below that you will see a button “Choose File” click on the button to browse for the zip file as per the snapshot below.

After browsing the file, click the “Install Now” button to install the plugin as per the snapshot.

Now when the plugin is installed correctly, you will see the success message & an option to activate the plugin.

Henceforth now, click on “Activate Plugin” to activate the installed plugin.

Configuration and Admin Workflow

After the successful installation of WooCommerce POS Warehouse Management plugin, admin proceeds to configure it.

Initially, they navigate to Point of Sale>Settings>Warehouse List as per image below,

Here, they get the Global Warehouse Configuration,

  • Select Threshold Type: Select the threshold type for your system either as Rack Based or Quantity Threshold based.

Next, Admin navigates to Point of Sale>Warehouse Management to manage the warehouses and view genealogy.

To add a new Warehouse, admin taps on the Add New button. Next, they’ll be redirected to the below page,

They get the below configurations,

Add Warehouse

  • Warehouse Name: Enter the name for Warehouse.
  • Select Warehouse Country: Enter Warehouse Country Name.
  • Warehouse City: Fill the warehouse city name.
  • Warehouse Address: Add Full Warehouse address.
  • Select Outlet: Select the POS outlet(s) to be associated with this warehouse.
  • Select State: Enter the State Name.
  • Warehouse Postal Code: Add the Postal code for warehouse.
  • Warehouse Low Threshold: It determines the rack color based on whether it is full or empty depending on a predefined quantity threshold.

Product Configuration

  • Warehouse Rows: Enter the number of Rows.
  • Warehouse Columns: Enter the number of Columns.
  • Warehouse Shelves: Enter the number of Shelves.
  • Warehouse Racks: Enter the number of Racks.

Once the above fields are filled out, admin taps on Save Warehouse and it will be added in the list of Warehouses.

Warehouse Management

For managing the warehouse, admin hovers over the Warehouse name and taps on Manage Warehouse.

They’ll first view a Graphical representation of the particular warehouse as per the image below,

Here, admin checks the Empty, Semi Occupied and Fully Occupied Racks. The racks are color coded according to the quantity of products.

They can Zoom In, Zoom Out with their respective magnifier icons and refresh the Racks from the refresh button.

Assign Products to Racks

For assigning products and their quantities to racks, admin taps on a particular Rack. Next a popup is displayed as per the image below,

Here, Admin selects the Product, enters its Quantity and taps on the Allocate button to allocate it to that Rack.

By following this process, Admin can allocate products throughout the Warehouse accordingly.

Now, the next process is to allocate Products to POS Outlets. For this, admin taps on the Products button and the below page is displayed,

Here, Admin can enable or disable the POS Warehouse Status from the Bulk Action. They can also check the Product Image, Name, Price and Product Stock fro their respective columns.

To allocate a product to a POS outlet, admin taps on Location button. Next, a popup is displayed below,

Here, they’ll check the below,

  • Location including Row, Column, Shelve and Rack.
  • Available POS Stock
  • Outlet Available: Select the Outlet assigned to the Warehouse.
  • Assign stock for the POS.
  • Tap on Assign to Outlet button to assign the POS stock.

Genealogy

Admin can view the genealogy of products by tapping on the dedicated Genealogy button.

From here, they can view the complete network of the Warehouse and identify the exact Rack where the product has been allocated. It is displayed as per below image,

The following actions can be performed by admin from Genealogy section,

  • Select Warehouse from List.
  • Select Rack Products from the Warehouse
  • Zoom In or Zoom Out of the Genealogy.
  • Download Genealogy report in PDF format.
  • View the Genealogy in Horizontal or Vertical views.
