Salesforce Events Reminder ( For Birthday, Work/ Marriage/ Customer Anniversary )

• Now Quick search >> Organization-Wide Address and click on it.
• Click on the Add button

• Mention the Display name
• Add the email address you will use for sending the emails.
• Allow users who can use this email address. For now, I am allowing all users.
• Then click the Save button.

• After that, you will receive a verification email on the email address you have added
• Go to your inbox and verify the email address.
• After this, in Quick search >> Remote site settings and open it
• Add a new Remote site

• Add Twilio API by providing:
  • The name of the remote site, 
  • Entering the remote site URL, and 
  • Tick mark the Active checkbox. 
• Then click on the Save button.

Event Reminder: Settings

• Go to the App Launcher in Salesforce Org >> search Event Reminder and click to open it

• After that, click on Event Reminder: Settings tab from the top of the window
• Then click on the Edit button from the right side of the window.
• Email settings:
  • Allow CC & BCC: enable this setting if you want the cc and bcc features during event creation. Disable if you don’t want to send email copies to others.
  • Schedule Job Setting: After email settings, it’s an important setting. Select a time to send a notification. For example- If you have selected 00:00 AM then a Notification will be sent at 00:00 AM.

• SMS Configuration:
  • Select Twilio SMS service from the drop-down list.
    • Twilio SID: Set Twilio SID provided by Twilio.
    • Twilio Token: Provided by Twilio.
    • Twilio Phone Number: Provided by Twilio.
  • Then click on the Validate Configuration button.
    • Enter the phone number that you used to register the Twilio account.
    • Send Message: Click on the button Send Message, to test the SMS service setup.

How To Create A New Event?

• To create a new event: Click on a new button in your Salesforce Org.

• A window opens up named New Event. You have to fill in the information regarding the event
  • Title: The title would be the name of the event. For example, birthday wishes events and meeting events.
  • Event Status: On the basis of this event status, it enables and sends the notification otherwise it won’t.
  • IsAnualEvent: If enabled notification will send every year for the particular event.
  • Search Object: There is an option to search and select all custom and standard Objects of Salesforce org. It creates an event on the basis of object selection and it also sends a notification to set records.
  • Select Event Type: There are two options:
    • Static: If the event is fixed. Select static event. In other words, if you know the event date you can select the static option. For example holi events, meetings, etc. (On the basis of the object you choose, it sends the notification to all records ).
    • Record-based: Unlike static, you don’t know the exact date. It creates the events on the basis of dynamic dates like birth date, anniversary date, etc. (It sends the notification to specific records of those having a birth date, anniversary, etc.
  • Date field/Select date: The Select Date field option will appear on the basis of event type. Here user needs to select a date field of the object. ex. Birthdate for a birthday event, anniversary field for anniversary events.
    • If the event type is static then it will show you the select date option instead of a Date field. Users can select a particular date ex. 10/12/2023.
  • Select Photo: Select the storage field name where the image URL is available.

• Notify before After: If enabled then it sends the notifications before and after the date of the event.
  • *Notify Before Event: mention the number of days, before sending the notifications.
  • *Notify After Event: Also, mention the number of days, after sending notifications.

• Notify By Chatter: Mark this checkbox if you want a notification on chatter.
  • Chatter template: You can write your message template. To merge a record field follow snippets {!fieldApiName} eg. {!Name}.

• Notify By Email: Enable this option to get notifications on email also.
  • Select From email address: Select the email from which you want to send the notification (sender email address). The emails will display that you have set in the organization-wide address during configuration.
  • Add CC: Field is not mandatory. But if you specify an email address then it sends a copy of the notification to the CC email also.
  • Add BCC: Field is not mandatory. But if you specify an email address then it sends a copy of the notification to the BCC email also.
  • Select the email address: Select those fields on which email.

• Notify By SMS: Enable this option to get notifications on the phone.
  • Phone field: Select a phone number field of the object to send SMS notifications to the selected phone number.
  • Message Template: Create a template that you want to send as an SMS for this event.
