One CRM, One Store, One View For Microbiome Labs
Microbiome Labs is on a mission to make vibrant health accessible for all.
There are pioneers in spore-based probiotics who have spent over a decade building research-backed solutions for gut health.
The company serves thousands of practitioners who, in turn, use their products to change the lives of their patients.
But as the company grew, so did the complexity of managing the people behind that mission.
The Challenge: A CRM That Could No Longer Keep Up
Microbiome Labs runs a two-sided customer model. On one side are practitioners — healthcare providers who rely on Microbiome Labs products for their patients.
On the other side are the patients themselves, many of whom order directly through the WooCommerce-powered online store.
For a while, Zoho handled the CRM side of things. But over time, the gaps became harder to ignore.
- Customer data lived in Zoho, while order data was in WooCommerce. The two systems had no real connection to each other, which meant the team was regularly working from an incomplete picture.
- As Microbiome Labs looked ahead, it was clear that Salesforce was the right platform to build on, but moving years of CRM data cleanly, without losing what mattered, was not a simple task.
- They also had business logic that did not fit into out-of-the-box settings. Territory-based account assignment, custom rollup calculations, and relationship hierarchies between practitioners and patients.
The decision was made: migrate from Zoho to Salesforce, connect it to WooCommerce, and get the custom logic right.
The Goal: One Connected System
Microbiome Labs came to Webkul with a clear picture of what they needed:
- Move all existing CRM data out of Zoho and into Salesforce without losing record history or relationships.
- Build a live connection between Salesforce and WooCommerce so that orders, customers, and product data stay in sync.
- Implement automated territory assignment so every incoming account or lead is routed to the right owner.
- Set up custom fields and rollup logic to surface the numbers that actually matter — revenue by account type, first and last order dates, and activity history.
Why Microbiome Labs Chose Webkul
Microbiome Labs needed a team that understood both sides of the problem.
They wanted a team that knows both the technical depth of Salesforce and the practical reality of connecting it to an e-commerce platform.
And Webkul brought both.
The WooCommerce Salesforce Connector provided a solid foundation, while the Webkul team’s consulting experience met the custom requirements.
The Solution: Migration, Integration, and Custom Logic
Zoho to Salesforce Data Migration
The Webkul team handled the full migration of Microbiome Labs’ CRM data from Zoho into Salesforce. The key objects include: Accounts, Contacts, Leads, Cases, Sales Orders, and Activities. All were brought to Salesforce cleanly.
WooCommerce and Salesforce Integration
Once the data was in Salesforce, Webkul connected it to the WooCommerce store. Orders placed online by patients now flow directly into Salesforce, giving the team a complete view of customer activity in one place.
Automated Territory Assignment
Routing the right account to the right person was one of the more layered requirements. Webkul built out the full territory assignment logic: US-based accounts are assigned based on state, then zip code if no state is matched, and then a fallback owner if neither applies.
Custom Fields, Rollups, and Automation
Custom rollup fields now surface total revenue, first order dates, last order dates, and activity summaries. Automation handles the business logic that keeps records accurate without requiring manual updates.
The Result: A Salesforce That Actually Reflects the Business
Microbiome Labs now has a single place for its customer relationships, order history, and operational data.
- The team no longer needs to cross-reference Zoho exports against WooCommerce reports.
- Practitioner accounts are connected to their patients.
- Incoming leads are assigned automatically.
- The numbers the business depends on are calculated and visible in real time.
Conclusion
Microbiome Labs had a very specific challenge. They had their CRM data in a place that was no longer needed.
And the data migration to a new platform required a solution that automates their data between their e-commerce and CRM platforms.
Webkul brought migration expertise, integration, and Salesforce consulting depth to handle all three — without cutting corners on any of them.
